Terms & Cancellation Policy

Cancellation & Refund Policy

Deposits are non-refundable but transferable with host approval. Full policy and liability terms on the Terms page.

Deposits

All deposits are non-refundable. Deposits may be transferred to a different guest if a replacement is approved by the host in advance of the retreat.

Cancellations 60+ days before the retreat (on or before July 13, 2026)

You may receive a refund of all payments minus the deposit. Process refunds by emailing the support address listed on the Terms page.

Cancellations 30–59 days before the retreat (July 14 – August 12, 2026)

You may receive a 50% refund of payments made beyond the deposit. Deposit remains non-refundable.

Cancellations within 30 days (August 13, 2026 onward)

All payments are non-refundable unless we are able to refill your spot from the waitlist, in which case we will refund payments beyond the deposit.

Travel Insurance

We strongly recommend travel insurance to protect your investment in case of illness, family emergency, or unforeseen travel disruption. Most weekend-retreat policies cost $30–60. Providers include Travel Guard, World Nomads, and your credit card’s built-in travel protection.

Balance Payments & Saved Cards

For overnight rooms reserved with a deposit, your remaining balance is automatically charged to the same card 60 days before the retreat (July 13, 2026 for the September retreat). You will receive an email reminder 7 days before the charge and a receipt immediately after.

You may pay the balance early at any time by emailing us for a payment link. If a balance charge fails, we will contact you to update payment within 7 days; if not resolved, the spot may be released to the waitlist and the deposit forfeited.

Participant Terms & Liability Waiver

By registering for a Tiles & Tide Social Club event, you agree to the following. This is the short, plain-language version; a full signed waiver will be sent ahead of your arrival for your signature.

Eligibility

You confirm you are 21 years of age or older. Tiles & Tide events are women-only gatherings (all women and non-binary guests welcome).

Voluntary Participation

All retreat activities — including movement sessions, beach walks, and alcohol service — are voluntary. You participate at your own discretion and acknowledge that physical activity, ocean proximity, and alcohol carry inherent risks.

Health & Safety

You agree to disclose any medical conditions, allergies, or medications that may be relevant to your safety during the retreat at the time of registration. Tiles & Tide will treat this information confidentially.

Conduct

We expect kindness, mutual respect, and inclusive behavior from every guest. Tiles & Tide reserves the right to ask any guest who acts harmfully toward others to leave without refund.

Property

Guests are responsible for any damage they cause to the rental property beyond ordinary wear and tear. We will follow up directly for any damages assessed by the property owner.

Photography

We may take photos throughout the weekend for social media and future event marketing. Let us know on arrival if you prefer not to appear in shared photos and we will respect that.

Limitation of Liability

To the fullest extent permitted by law, Tiles & Tide Social Club and its hosts are not liable for personal injury, illness, loss, or property damage that may occur during the retreat. We strongly recommend travel insurance.

Privacy

We collect only the information needed to host you well: your name and contact, payment information (processed securely by our payment provider — we never see your card details), Mahjong experience, dietary needs, and emergency contact. We do not sell or share your information.
